The software was previously known as Navision (NAV) and has now been fully transitioned to the cloud by Microsoft, making it cost-effective even for smaller firms with fewer users. Business Central is a much more robust product than Navision, both technologically and in terms of functionality.

Microsoft updates its features twice a year with two major update packages. The system is available in different languages to ensure compliance with current accounting laws and the use of the desired language. It also has country-specific integrations.

Additionally, it can be integrated with other Microsoft services such as Office 365, and it can be customized to meet the specific needs of a business sector using Power Apps and Power BI.

Integration with Dynamics 365 Sales

For a more comprehensive CRM solution, it is recommended to connect Business Central with Dynamics 365 Sales. This allows for the unified management of data using Dataverse (previously known as Common Data Service), ensuring that the data in both systems remains in sync.

LICENSING

The following excerpt is from the official licensing documentation titled Microsoft Dynamics 365 Business Central Licensing Guidethat was released by Microsoft in May 2020.

It is important to note that the description is not exhaustive and complete licensing guidelines can be found in Microsoft’s recent License Guide document.

Users who possess named accounts and full licenses are entitled to create and execute custom applications within the Dynamics 365 framework, utilize Dynamics 365 connectors, use the database management services offered by the Dynamics 365 framework (Common Data Service), and leverage the ‘Power Automate’ tools and processes that provide unique automation capabilities within the Dynamics 365 framework.

There are two types of licenses available in Business Central:

  • Full Access Users: Users with full access can utilize the complete range of functionalities offered by the Business Central system. Depending on the required features, these users may be equipped with either Premium or Essentials level licenses.
  • Additional Users: These users have restricted access to Business Central and are limited to performing specific, general tasks within the system.
  • A license can be explicitly assigned in scenarios where a single device is shared between multiple users. A device license does not allow for tracking of user-level activity within Business Central.

This license encompasses the live (Production) environment necessary for Business Central operations and includes an initial storage capacity of 80 GB.

The minimum licensing requirement is the purchase of at least one Premium or Essentials license.
